What is a missing document email template?

A missing document email template is pre-written copy for requesting late client files — bank statements, processor exports, payroll summaries — without sounding legal or passive-aggressive. This generator fills in your client’s name, missing list, due date, and firm name, then outputs a Day 0 request and three timed follow-ups you paste into Gmail yourself.

How often should I follow up for missing bank statements?

For monthly close, a common cadence is Day 0 (initial ask), Day 2, Day 4, and Day 6 after the first request. That gives the client two business weeks of nudges before you escalate to a pause-work note or a phone call. Kick-Start’s managed Document Chase service uses the same schedule by default.

Formula in plain English: send date = first ask date + (2 × reminder number) for reminders 1–3 on the Day 2 / 4 / 6 grid.

What should the first email say when documents are late?

Lead with what is missing (specific filenames or accounts), why you need it (monthly close / reconciliation), and a clear due date. Avoid blame. Example opener: “Hi Alex — we’re still missing the June operating bank PDF and Stripe export below. Could you send by Friday so we can finish March close?” The tool’s Email sequence tab writes that Day 0 message for you.

Numeric check: 4 reminders over 6 calendar days (0, 2, 4, 6) = one touch every ~2 days. If Jamie sends only a password PDF on Day 3, switch to the Wrong file tab before the Day 4 send.

What if the client sends the wrong file?

Use the Wrong file tab for copy when you receive password-locked PDFs, phone screenshots instead of statements, CSV when you asked for PDF, or “I’ll send Friday.” Each reply stays short and redirects to the exact format you need.

How do I pause work until documents arrive?

The Pause work tab gives language that close or tax prep pauses until items arrive — without threatening legal action. Your staff stays in control; use the angry-client exception only when a partner needs to intervene.

Is there an SMS template for missing documents?

Yes. The SMS tab outputs a message at or under 160 characters — enough for a quick nudge between email reminders. Copy into your normal texting app; Kick-Start does not send texts.
