How much does chasing clients for documents cost?

Use this free document chase ROI calculator to estimate how much staff time your firm spends chasing client documents each month. Enter clients, hours per client, loaded hourly rate, and recovery % — the formula is clients × hours × loaded rate × recovery. Illustrative only, not a guarantee.

What is document chase ROI?

Document chase ROI is the dollar value of staff time spent emailing, calling, and following up when clients are late on bank PDFs, payroll exports, and receipt folders. It is not a tax return or a promise that automation saves a fixed amount — it is a planning number for partners and ops leads.

Monthly cost = clients × hours per client per month × loaded hourly rate × (recovery % ÷ 100)

Annual cost = monthly cost × 12. The calculator above runs this math live as you type.

What is a loaded hourly rate?

A loaded hourly rate is what one hour of staff time truly costs your firm — not just salary. Include employer payroll taxes, benefits, PTO, software seats, and a share of overhead (rent, admin, partner time). Many US bookkeeping firms use $55–$95/h loaded for bookkeepers and $90–$140/h for senior reviewers.

If you only know billable rate, use a conservative fraction (often 40–60% of billable) or ask finance for fully loaded cost per hour.

Why is recovery less than 100%?

Recovery % is the share of chasing time you believe automation, templates, or a service like Document Chase could realistically remove — not every minute disappears. Clients still upload late, portals break, and someone still reviews completeness. Typical planning ranges are 40–70% for partial fixes (checklists + reminder emails) and 50–80% for managed chase with digests.

How do I calculate monthly document chase cost?

  1. Count active clients you chase each month (or use your client roster).
  2. Estimate hours per client per month on reminders, status checks, and re-requests.
  3. Multiply by your firm’s loaded hourly rate.
  4. Apply recovery % for the share you could recover with better process or automation.

The tool defaults to 60 clients, 1.5 hours, $75/h, and 60% recovery — adjust to match your firm.

2026 worked example — 60-client bookkeeping firm

Harbor Books LLC (August 2026) chases monthly close documents for 60 small-business clients. Staff spend about 1.5 hours per client per month on follow-ups. Loaded cost is $75/hour. They assume 60% of that time could be recovered with a managed request-and-reminder workflow.

Monthly: 60 × 1.5 h × $75 × 60% = $4,050/mo

Annual: $4,050 × 12 = $48,600/yr

How does Document Chase pricing compare?

Use your monthly estimate above as context — then compare against Document Chase list prices. These are published tiers as of 2026-08-23, not a promise that your firm saves the full chase cost.

Plan List price Best for
Pilot $1,500 setup + $697/mo First managed workflow, limited client count
Standard $1,497/mo Ongoing requests, reminders, and staff digests
Growth $2,497/mo Higher volume firms and multi-staff routing

Example only: if Harbor Books’ illustrative chase cost is $4,050/mo, Standard at $1,497/mo might be worth a teardown call — but your recovery %, client count, and workflow differ. Run your own numbers in the calculator.
